Iron Fenix Logistics is committed to operating in full alignment with the safety and regulatory standards established by the U.S. Department of Transportation (DOT) and the Federal Motor Carrier Safety Administration (FMCSA). Safety, accountability, and regulatory compliance are foundational to how we build our operation. This page outlines the core elements of our compliance framework.
1. Authority & Registration
- USDOT Number and MC Operating Authority registration in progress with the FMCSA (pending activation).
- BOC-3 Process Agent designations to be filed for all states of operation.
- Unified Carrier Registration (UCR) and IFTA/IRP credentials to be maintained current upon activation.
- Federal Heavy Vehicle Use Tax (Form 2290) to be filed annually for every power unit placed in service.
2. Insurance
- Commitment to primary auto liability coverage at or above $1,000,000 CSL as required by 49 CFR § 387.
- Motor truck cargo coverage with limits appropriate for flatbed and heavy-haul commodities.
- General liability, workers' compensation, and trailer interchange coverage as applicable.
- Certificates of Insurance provided to shippers and brokers upon request.
3. Driver Qualification (49 CFR Part 391)
Every driver operating under our authority is qualified before dispatch and re-evaluated annually. Driver Qualification (DQ) files include:
- Application for Employment (DOT compliant).
- Three-year safety performance history (PSP / previous employer inquiries).
- Motor Vehicle Record (MVR) at hire and annually thereafter.
- Valid Commercial Driver's License (CDL) with required endorsements.
- DOT medical examiner's certificate (Med Card) issued by a certified examiner.
- Road test certification or equivalent.
- Annual driver's review and certification of violations.
4. Drug & Alcohol Testing (49 CFR Part 382)
Iron Fenix participates in a DOT-compliant drug and alcohol testing program administered through a qualified consortium / TPA. The program includes:
- Pre-employment, random, post-accident, reasonable suspicion, return-to-duty, and follow-up testing.
- FMCSA Clearinghouse queries (pre-employment full queries and annual limited queries).
- Supervisor reasonable-suspicion training as required by 49 CFR § 382.603.
5. Hours of Service & ELDs (49 CFR Part 395)
All commercial motor vehicles are equipped with FMCSA-registered Electronic Logging Devices (ELDs). Drivers are trained on HOS rules, including the 11-hour driving limit, 14-hour on-duty window, 30-minute break requirement, and 60/70-hour cycle limits. Supporting documents are retained for six (6) months.
6. Vehicle Maintenance & Inspections (49 CFR Part 396)
- Systematic preventive maintenance program for every tractor and trailer.
- Daily Driver Vehicle Inspection Reports (DVIRs) pre-trip and post-trip.
- Annual DOT inspections performed by qualified inspectors.
- Maintenance and inspection records retained for the period required by regulation.
7. Cargo Securement (49 CFR Part 393, Subpart I)
Drivers are trained in flatbed cargo securement, including selection and use of chains, straps, binders, edge protectors, tarps, and commodity-specific rules for steel, lumber, pipe, machinery, and other heavy commodities. Securement is verified prior to departure and within the first 50 miles, then re-checked per regulation.
8. Hazardous Materials
When transporting hazardous materials, we comply with 49 CFR Parts 100–185, including proper shipping papers, placarding, driver HazMat endorsement, security plans, and emergency response information.
9. Accident Register & Reporting
We maintain a DOT-compliant Accident Register and cooperate fully with law enforcement and FMCSA in the event of any reportable accident as defined in 49 CFR § 390.5.
10. CSA & Safety Management
We actively monitor our Compliance, Safety, Accountability (CSA) scores across all seven BASICs and conduct internal safety reviews to maintain a Satisfactory safety rating.
11. Recordkeeping
All required records — DQ files, drug & alcohol testing records, HOS logs, DVIRs, maintenance files, and accident records — are retained for the periods specified by FMCSA regulations and made available to authorized auditors upon request.
